As a reminder, when running a background check on an applicant for either employment or tenant screening purposes you must have the applicant’s signed permission to conduct the background check. For employment purposes, the consent and disclosure must be a separate and distinct document, the consent cannot be part of the employment application. Furthermore, you must maintain the signed disclosure form for five (5) years regardless if you hire or lease to the applicant or not.
Scott-Roberts has a functionality in its system which allows the disclosure forms to be sent to your applicant electronically. This function is call the “QuickApp.” All you have to do is go into your account, select the type of search you want completed and then click on the green QuickApp icon. The next screen requires you input the applicant’s first and last name and their email address. Click the send button and the forms are sent to the applicant electronically. The applicant fills out the consent and disclosure forms, signs electronically, and forwards the completed forms back to Scott-Roberts to work on the search. This system is user friendly, avoids the hassle to file and maintain hard copies of the consent/disclosure forms, and all forms are automatically filed and maintained with Scott-Roberts.
